5 Things to Confirm Before Your Equipment Hits the Job Site

You've locked in your project timeline, your crew is ready, and the equipment is on its way. But a few quick checks before the machines arrive can save you hours of downtime, surprise costs, and headaches on site. Here's what experienced contractors always confirm ahead of delivery.

1

Confirm the right machine size for the job

It sounds obvious, but machine size mismatches are one of the most common causes of rental delays. A 15-ton excavator and a 25-ton machine aren't interchangeable — they perform very differently on site. Before you finalize your rental, double-check the required dig depth, reach, and working weight against the specific model you're getting. If you're unsure, call your rental provider and walk through the specs together. At Hayco, we're always happy to help match you to the right machine.

2

Clarify attachments and special configurations

Does the job require rubber tracks for sensitive surfaces? Hydraulic quick couplers for fast attachment changes? A blade welded onto the dig bucket? These details are easy to overlook during quoting, but they matter a lot once you're on site. Make a list of every attachment requirement before you confirm your rental — last-minute changes can delay delivery or affect your rate.

3

Lock in your confirmed start date early

Most rental companies — including us — can't hold machines against a quote alone. Without a confirmed start date, a machine you've been quoted on could be allocated to another job before yours begins. If your project timeline is firm, confirm the date as soon as possible to secure your equipment. If you're still waiting on permits or approvals, let your rental provider know so they can advise on availability.

4

Check site access and delivery logistics

Where exactly is the machine being delivered? Is the site accessible for a float truck? Are there low bridges, weight limits, or narrow access roads between the yard and your site? Giving your rental provider specific delivery details upfront helps them plan the right transport — and avoids situations where the truck shows up and can't get in. Hayco delivers across the Lower Mainland 7 days a week, but we always appreciate a heads-up on tricky access points.

5

Understand what's included — and what isn't

Before your rental starts, make sure you're clear on what's covered in the rate. Does the quote include fuel? Delivery and pickup? What happens if the machine goes down on site — is a mobile mechanic included, or is there a call-out fee? Knowing these details upfront means no surprises on your invoice. At Hayco, our fleet is modern and well-maintained, and we back every rental with full mobile mechanic support if something comes up.

A little preparation goes a long way in heavy equipment rental. The contractors who get the most out of their machines are the ones who communicate clearly with their rental partner before the job starts — not after. If you have a project coming up and want to talk through what you need, give us a call or send us a message. We'll make sure you have the right gear, ready to go.
